CMEC Service Centers — Scheduling & Policies

Overview

The CMEC Service Center Labs are shared labs that support research, instruction, and collaboration within CMEC, across the WSU community, and across multiple industries. To ensure fair access, safe operation, and consistent maintenance of all equipment and spaces, all users are expected to review and follow the policies outlined on this page before reserving lab time.


General Lab Policies

Safety

  • Compliance with all WSU Environmental Health & Safety (EH&S) requirements is mandatory.
  • WSU and building Safety Trainings must be completed before access to labs is granted.
  • Proper PPE must be worn at all times.
  • Food and drink are not allowed in any lab area.
  • Users must report incidents, near misses, or equipment malfunctions immediately to CMEC staff.

Clean‑Up

  • Users are expected to leave the lab in clean, ready‑for‑next‑user condition.
  • Clean-up time should be included within your reservation period.
  • Improper clean‑up may result in additional charges or suspension of access.

Equipment Use

  • Only approved users may operate specialized instruments.
  • Equipment must be used according to posted procedures.
  • Do not modify equipment, software settings, or hardware configurations without authorization.
  • Users will be responsible for repair costs resulting from negligent or improper use.

Scheduling

Reservations

  • All shared lab time must be scheduled in advance using the CMEC online reservation system.
  • Reservations are available on a first‑come, first‑served basis.
  • Users may reserve up to two weeks in advance, unless otherwise approved by lab management.

Sign‑In Requirement

  • All users must sign in upon arrival and sign out when leaving the lab, using the NEMO digital sign‑in system.
  • This log is used for safety accountability, usage tracking, and maintenance planning.

Cancellations & No‑Shows

  • Cancellations should be made at least 24 hours in advance.
  • Repeated no‑shows may result in temporary suspension of scheduling privileges.
  • If a user is more than 15 minutes late, their reservation may be forfeited to walk‑in users.

Data, Storage & Materials

Data Management

  • Users are responsible for backing up their own data.
  • CMEC is not responsible for data loss due to system maintenance, storage limits, or hardware failure.

Sample & Material Storage

  • Short‑term storage is available by arrangement with lab staff.
  • All samples must be clearly labeled with name, PI, date, and contents.
  • Unlabeled or expired samples may be discarded without notice.

After‑Hours Access

  • After‑hours use is permitted only for users with approved key‑card access.
  • Working alone with hazardous materials or high‑risk equipment is prohibited.
  • Users must follow all building access and security procedures.

Fees & Billing

  • Equipment and lab areas require usage fees to support maintenance and consumables.
  • Billing is processed monthly through the associated PI or department budget.
  • A detailed rate sheet is available upon request.

Training

  • Training sessions are available by request from Joshah Jennings, Scott Lewis and Shu Cai and must be completed before independent lab use.
  • Users are responsible for maintaining competency with all equipment they operate.
